Privacy notice

This notice explains how Care Recruitment uses personal data about the care workers we introduce and supply, the managers and services we work for, and anyone who contacts us. It is written as the questions people ask us, with our answers.

Care Recruitment decides how and why this data is used. You can reach us at 30 High St, Thornton Heath CR7 8LE, on 020 8240 7884 or at info@carerecruitment.net.

What we collect

About care workers and other work-seekers

  • Your name, contact details, date of birth and home address
  • Proof of who you are and that you are allowed to work in the UK
  • Your work history, references, qualifications, training records and professional registration
  • The result of your criminal record check (DBS, PVG or AccessNI), including any information it shows
  • A health declaration covering anything that affects the work you can safely do
  • The roles, areas and hours you want, and notes from your interview
  • For temporary work: your National Insurance number, bank details, tax information and the shifts you work

About care providers and their staff

  • The names, job titles and contact details of the people we deal with
  • The address of the service, the vacancies and shifts you ask us to fill, and any feedback on the workers we supply
  • Billing details and our correspondence with you

About people who contact us

If you phone, email or send the enquiry form, we keep your message and the contact details you give us. The form on this website opens an email in your own email app, so the details reach us as an ordinary email.

This website sets no cookies, runs no analytics and loads nothing from other companies’ servers.

Why we hold it

UK data protection law (the UK GDPR and the Data Protection Act 2018) requires a lawful basis for each use of personal data. Ours are:

Finding you work, or finding you staff
Taking steps at your request before a contract, and then performing that contract.
Checks the law requires
Legal obligation. The rules for employment agencies and the regulations for care services require identity, right to work, references, criminal record and registration checks before someone works with vulnerable people.
Health and criminal record information
These are more sensitive kinds of data. We use them only to meet obligations in employment and social protection law and to protect the people you support, as the Data Protection Act 2018 allows.
Keeping records and handling complaints
Legal obligation, and our legitimate interest in running the business properly and defending legal claims.
Telling you about new work
Our legitimate interest in offering you shifts or jobs you have asked about. You can ask us to stop at any time.

How long we keep it

We keep personal data only for as long as we need it for the purpose we collected it for, or for as long as the law says we must.

Work-seeker and client records
At least one year from when they were made, or from the last time we introduced or supplied someone, because the Conduct of Employment Agencies and Employment Businesses Regulations 2003 set that as the minimum. After that, we delete a work-seeker’s file once we no longer need it to offer them work, unless they ask us to keep it.
Right to work checks
For the time a person works through us, and for two years after that, as Home Office guidance advises.
Criminal record check results
We record the certificate number, date, level and outcome. We do not keep a copy of the certificate itself for longer than we need to make and record the decision.
Pay and tax records
For as long as HM Revenue and Customs requires.

Who we share it with

  • Care providers we introduce or supply you to, who receive your profile and, where the law requires, copies of your check results
  • Your referees, and the bodies that run criminal record checks and professional registers, such as the Disclosure and Barring Service, Disclosure Scotland, AccessNI and the NMC
  • Our payroll, pension and IT providers, who may only use the data on our instructions
  • HM Revenue and Customs, the Home Office, the police, care regulators or a court, where the law requires it

We never sell personal data. If an IT provider stores data outside the UK, we make sure the safeguards UK law requires are in place first.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, and in some cases ask us to delete it, limit what we do with it, object to how we use it or send it to you in a portable form. Write to info@carerecruitment.net or to our office address. We may ask you to confirm your identity before we act.

Some records we have to keep by law, such as pay records and certain check results, cannot be deleted early. If that applies, we tell you which records and why.

How to complain to the regulator

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. Write to info@carerecruitment.net or to our office. We acknowledge a data protection complaint within 30 days, as the law requires, and reply as soon as we have looked into it.

You can also complain to the UK data protection regulator. Since 30 September 2026 that is the Information Commission, which replaced the Information Commissioner; it still uses the ico.org.uk website and the 0303 123 1113 helpline. It usually expects you to raise the problem with us first.
